What we collect

When you apply for a grant we collect the information you provide in the application: your organization's legal name and Employer ID, fiscal sponsor details, mailing address, contact phone, email and website, staffing and budget figures, the amount requested, your program description, the documents you upload, and the name, title, date and typed signature of the person submitting. When you sign, we also keep a signing record as proof of the electronic signature: the date and time, your IP address and browser, and a fingerprint of exactly what you submitted. It's recorded again each time you edit and re-sign.

How we use it

This information is used solely to review, score, and decide grant applications. It is accessible only to DCIGRA committee members and administrators for that purpose. We do not sell it or share it for marketing.

Committee members can use an AI assistant in the board portal, and the portal's support chat may also be answered by our technical support team through Discord. The AI is Claude, provided by Anthropic. To answer a question it reads only application records the committee member is already allowed to see, and it changes something only when the committee member asks; anything beyond their own settings waits for them to confirm it. Anthropic does not use this data to train its models. Assistant conversations are deleted after 30 days.

How it's stored

Data is stored in a secured database with access controls that restrict each applicant to their own records, and documents are held in private storage available only to authorized DCIGRA staff. Email addresses are used to send you application confirmations, status updates, and account password links. If you ask to be emailed when a grant opens, we keep that address only to send that one alert.

Service providers

The site runs on Vercel (hosting), Supabase (database, files and sign-in) and SendGrid (email). Committee members' AI assistant is provided by Anthropic and their support chat runs through Discord. Each handles information only to provide its service to DCIGRA.

Retention & your choices

Applications and their decision history are retained as part of DCIGRA's grant records. To request access to, correction of, or deletion of your information, contact DCIGRA using the details below. We will respond consistent with applicable public-records and retention obligations.
